Scenarios

Verisae Client — Food Retailer in the Eastern United States, Equipment Procurement Director

“You would think that my biggest headaches come while orchestrating the acquisition and delivery of the most cost-efficient assets for a new or upgraded store location.", said a major retail Procurement Director in the Eastern US.

"Actually, the challenges for any retail asset procurement manager start long before then! My problem was the parameters of our old procurement process involved the ‘players’ manipulation of store prints after they had left the planning department and before it transitioned into a full ‘job’ status, significantly impacting what I had to make happen for a store to open its doors. The planning department would issue site planning prints directly to all other departments: engineering, merchandizing, procurement, whoever needed it."

I would initiate the asset procurement process to accommodate what was reflected on the plans. In the meantime and unbeknownst to me, the engineering guys would make changes for whatever reason as would the merchandizing department. Do you see where I’m headed here? It was like spinning my wheels throughout the budget phase as changes and rumors of changes would leak into my department and we’d have to scramble to accommodate on-going adjustments while still being held responsible for finding the most cost-effective assets to meet revisions as they filtered through, sometimes up until the eleventh hour. You can only imagine how frustrating it is to have to throw purchase forecasts--hours and hours of leg-work—right out the window upon learning of a change that wasn’t communicated in a timely way.

Verisae’s Enterprise Asset Procurement tool has revolutionized asset acquisition systems. Its software, using AutoCad or Microstation, facilitates my visibility of the entire process, from plan drafting through budget phases, during which the entire initial plan could potentially change, up to transition into actual ‘job’ status.

Now, I can access any given location’s store plan and see the changes that are being made while it is a work in progress. Only when I see that it’s time for me to take action, will I submit a PO. Before then, however, I monitor Verisae’s databank of information about any and all assets that pertain to food retailers. A mere click on an icon leads me to detailed information about an asset that I might need—cost, size, preferred vendors, you name it. The new asset drops onto the plan as if it had always been there and the financials roll with the change. It’s amazing how it works! The information that I need to do my job efficiently is right at my fingertips. What ends up happening is that, when a new store opens its doors for business, I am confident that I’ve acquired assets leading to the most robust design possible, within budgetary constraints and everybody’s happy.

With the help of Verisae’s EAP tool, the lines of communication have become visible to all the key players: the planning department, the engineering department, the merchandizing department and me…the procurement department.”
