Verisae’s Utility Bill Processing Management (UBP) solution offers specific capabilities and benefits that will greatly impact your efforts to reduce operating costs and improve efficiencies in your utility management and sustainability programs.

Our utility bill processing service is a web-based utility bill analytics, reporting and tracking solution designed to reduce enterprise-level utility cost and usage. All utility services are supported including electricity, natural gas, water/sewage, solid waste, etc.

UBP is composed of the following web-based modules:

Utility Account Management - This function allows customers to set up utility account information in a desired format for analysis and bill processing. This includes Provider, Account, and Location Information.

Utility Bill Capture - This module facilitates the capture of billing information from the utility providers. The Verisae UBP system supports multiple billing formats including: Electronic Data Integration (EDI), paper to digital fax automation, flat data files, and integrated web services.

Online Reporting - The system can provide a wide variety of detail and summary reports. Customers can utilize all standard reporting features provided by our system in addition to the ability to create custom web based reports that can be emailed, moved to excel or converted to PDF format. Customers can access the following reports: View utility bills electronically, pull up all accounts and view or sort cost and/or consumption data, and pull up comparison charts (i.e. cost vs time, consumption vs time, etc.).

Elimination of Late Fees - UBP uses the missing-bill report and a workflow tracking process to ensure that bills are tracked, based upon anticipated dates. This process is also used to follow-up with the utility companies to ensure that bills are paid on time and without any late-fees.

Tariff and Rate Analysis - It is critical that both corporate and individual sites are on the proper tariff and paying the correct rate when it comes to their utility bills. The UBP solution can be configured to automatically alert users when a utility bill arrives with a different rate code than expected. In addition, there are various exception and variance reports that can be used by customers to identify changes to associated tariffs and rates.

Automatically Captures Scope 1 and Scope 2 Emissions
All indirect emissions associated with purchased electricity can be captured from the electricity bills and all on-site combustion emissions can be captured from your gas bills. This data can be automatically transferred to the Verisae EET (Enterprise Emissions Tracking) module for real time emissions tracking and carbon footprint calculation.

This is achieved through comprehensive exception management to catch duplicate bills and over billings as well and a sophisticated work flow management process that ensures bills are verified and paid on time, reducing costly late fees.

At a glance you’ll be able to see stores under or over budget, allowing you to make better decisions about the amount of capital or expense money available for future projects. You can project the electric and gas costs based on future weather conditions using our system.

Accounts Payable Integration
The UBP solution uses the UBP web-interface to present all utility bill data. All bill images and bill reporting capabilities are integrated into Verisae’s UBP solution. Actual utility bill data is transmitted and uploaded to the web-interface, within 24 hours of the utility bills received at the scanning center. Optionally, the A/P extract or Outbound Bill-Date transaction file can be transmitted electronically to any accounts payable system. This further streamlines the payment process and reduces administrative costs associated with utility bill payment.

For proper management of exceptions related to late fees, disconnect notices, incorrect applied payments and other really important notices from utilities, it is critical to determine when and how a utility bill was paid. This will require creation of a data feed from the Oracle AP solution back into Verisae’s UBP solution.

Historical Billing Analysis
Once the data is loaded into the application, customers and/or Verisae will be able to identify refunds from overbillings, find applicable credits and uncover future savings by:

• Running variance and exception reports to identify billing anomalies
• Comparing across utility providers respective rate tariffs
• Comparing usage, load factor, unit-price and assigned rate name
• Comparing individual facility data to corporate footprint
• Investigating utility provider’s cost basis:
• Recalculate utility provider’s costs used to establish filed rates and tariffs
• Document / verify any over-billings
• Determine if assigned rate schedule has been applied correctly in the past
